Full-time Healthcare Virtual Assistant (Mental Health Practice)

We're looking for an experienced Healthcare Virtual Assistant to support a US-based mental health practice. The ideal candidate has hands-on experience working with a US healthcare or mental/behavioral health practice and is confident managing both patient-facing communication and administrative workflows.

SimplePractice experience is required.
Key Responsibilities

• Respond to patient calls, messages, and callback requests in a professional and compassionate manner
• Schedule, reschedule, and coordinate appointments for multiple therapists/providers
• Verify patient insurance eligibility, benefits, and coverage details
• Process, review, and submit insurance claims through SimplePractice
• Maintain accurate patient records and ensure information is updated appropriately
• Monitor and manage administrative tasks within SimplePractice and other practice systems
• Assist with patient intake, forms, and other front-office administrative processes
• Coordinate with therapists, providers, and internal team members to support smooth daily operations
• Handle routine patient communications while maintaining confidentiality and professionalism
• Provide general administrative support to the mental health practice as needed
  

Requirements

• Previous US healthcare or mental/behavioral health experience is required
• Hands-on experience using SimplePractice is required
• Experience supporting a US-based healthcare, mental health, behavioral health, therapy, or private practice setting
• Strong understanding of healthcare administrative workflows
• Experience with appointment scheduling and patient communication
• Familiarity with insurance verification and claims processing
• Excellent written and verbal communication skills
• Strong attention to detail and ability to handle confidential patient information
• Comfortable working independently in a remote environment
• Reliable internet connection, computer, headset, and webcam
• Ability to work hours aligned with the client's US time zone
